The freelance invoice checklist: 12 things before you hit send

A pre-send checklist covering the details that delay payment — from missing due dates to unclear line items to the wrong recipient.

Almost every "late" payment traces back to something missing or unclear on the invoice itself. Run this list before you hit send — it takes ninety seconds and saves the week you would spend chasing.

Identity and addressing

  1. Your legal/business name matches your bank account — mismatches trigger manual review in accounts systems.
  2. The client entity is exactly right — the company that contracted you, not the parent brand or the person's name.
  3. It is going to the right inbox — accounts-payable, not just your day-to-day contact. Ask once; reuse forever.

The money

  1. A unique, sequential invoice number — see numbering formats.
  2. Issue date and an explicit due date — "Net 30" alone makes the reader do maths; write the date.
  3. Line items a stranger could understand — the approver often was not in the project.
  4. Quantities × rates shown, not just totals — visible arithmetic gets approved faster.
  5. Tax handled correctly — charged and itemized if you are registered (GST/VAT), absent if you are not.
  6. The currency the contract names, formatted natively — grouping and symbol both.

Getting paid

  1. Complete payment instructions — account name and number, IFSC or SWIFT, or the platform handle. Every missing digit is a reply-email round trip.
  2. Late terms stated if you use them — a late fee you never mentioned is unenforceable and reads as retaliation.
  3. Sent as a PDF attachment with a filename that files itself: INV-042-YourName.pdf.

Before the first invoice to any new client

Three questions asked once, at kickoff, prevent most first-invoice delays: Who exactly should the invoice name and where does it go? (Many companies pay only invoices addressed to the right legal entity, sent to an accounts-payable inbox.) Do you need a PO number? (If yes, an invoice without one is invisible to their system.) When are your payment runs? (A company that pays on the 25th will pay your Net 15 invoice on the 25th regardless — send early enough to make the run.) The answers go in your notes for that client and every later invoice inherits them.
