GST invoice format for freelancers: every field explained
What a GST tax invoice must contain, CGST+SGST vs IGST, invoice numbering rules, and the mistakes that get invoices bounced back.
If you are a GST-registered freelancer in India, every invoice you issue is a tax invoice — a document with required fields, not just a payment request. Miss a field and a client's accounts team can bounce it back, which costs you a payment cycle. Here is what belongs on it and why.
The required fields
- Your details: name, address, and GSTIN.
- Invoice number and date: a consecutive serial number unique for the financial year, and the issue date.
- Client details: name and address; their GSTIN if they are registered (B2B).
- Place of supply: the state where the service is supplied — this single field decides which taxes apply.
- Description of services: specific enough to identify what was delivered.
- Taxable value, rate, and tax amount: shown separately, not folded into the total.
CGST + SGST or IGST?
Same state as your client → split the tax as CGST + SGST (9% + 9% for an 18% service). Different state → a single IGST line at the full rate. This is why the place-of-supply field matters: it is the switch between the two.
What rate do freelance services attract?
Most professional, IT, design, and consulting services fall under 18%. But rates are set per service category — verify yours against the official rate schedule before you standardise on it. The rates and SAC codes guide covers the codes freelancers actually use.
Numbering rules worth knowing
The serial must be consecutive and unique within the financial year, up to 16 characters, letters, numerals, and hyphens allowed. A format like 2026-27/001 resets cleanly each year and never collides. More schemes in our invoice numbering guide.
Common mistakes that get invoices bounced
- Missing place of supply. Without it the client's accountant cannot verify whether CGST+SGST or IGST was correct, so the invoice comes back instead of getting paid.
- Tax folded into the total. A single "₹53,100 incl. GST" line fails the format — taxable value, rate, and tax amount must each be visible.
- A GSTIN typo. One wrong character and the client cannot claim input credit against it; expect the invoice back with a request to reissue.
- Breaking the number sequence. Skipped or duplicated serials surface at filing time, when they are most annoying to reconstruct.
Keep copies like the return depends on it
It does: every invoice you issue feeds your GSTR filings, and the tax office expects records retained for years. Keep the PDF you actually sent — not a regenerated copy — plus the sequence intact, voided invoices included. A folder per financial year, named by invoice number, is enough discipline for a one-person business.
If you are not registered
Below the registration threshold (₹20 lakh annual turnover for most services), you invoice without charging GST and without quoting a GSTIN — a plain invoice, not a tax invoice. Do I need to register for GST as a freelancer?
Registration becomes mandatory once annual turnover crosses ₹20 lakh for most services (₹10 lakh in special category states). Below the threshold it is optional — some freelancers register early because B2B clients prefer invoices that carry input tax credit.
What is an SAC code and does my invoice need one?
The Services Accounting Code classifies the service for GST. Most freelance IT, design, and consulting work sits under codes like 998313 or 998314. Above certain turnover thresholds showing it is required, and client accountants often expect it regardless.
Can a GST invoice be issued in a foreign currency?
