How to invoice international clients from India
Currency choice, GST treatment of service exports, and what to put on the invoice so a US or EU client's accounts team pays it without questions.
Billing a client in the US or EU from India crosses three systems at once: their accounts process, your bank, and GST. The invoice that gets paid fastest is the one that gives each system exactly what it expects.
Invoice in the client's currency
Bill in USD, EUR, or GBP — whatever the contract says. A US accounts team processing a rupee invoice has to guess at conversion, and guessing delays approval. Your bank converts on receipt; the rate you actually get is a banking question, not an invoicing one. Use correct local formatting for the currency ($1,250.00, not ₹-style grouping) — it reads as native to their AP software and to the person approving it.
What the invoice must carry
- Your full name/business name and address — matching your bank account name
- A consecutive invoice number and clear issue/due dates
- Itemized services with quantities and rates in the billing currency
- Payment instructions: for wires, your account name, account number, bank name and address, and SWIFT code. For platforms like Wise, the receiving details they generate for that currency.
- Payment terms — Net 15 or Net 30, stated explicitly
Where GST fits
Services delivered to a client outside India, paid in foreign currency, generally qualify as an export of services under GST — which is zero-rated, not exempt. Registered freelancers typically file a LUT (Letter of Undertaking) so they can export without charging IGST; without one, the charge-and-refund route applies. Keep your FIRC/FIRA (the bank's proof of foreign inward remittance) — it is the document that substantiates the export.

What getting paid actually costs
The route the money takes matters as much as the invoice. A SWIFT wire can lose $15–50 to intermediary bank fees before it lands, so state in your terms who bears them — or price them in. Platforms such as Wise or Payoneer typically cost less on small and mid-size invoices, but compare the exchange-rate margin, not the advertised fee: a "free" transfer at a rate 2% off mid-market is the most expensive option on the page. Whichever route you choose, your bank reports the inward remittance with a purpose code for the RBI — for freelance service exports that is usually the code your bank assigns for software or business services, so answer their classification query promptly or the credit sits in limbo.
Practical details that prevent delays
- Ask who the invoice should be addressed to before sending — many companies pay only invoices naming the right entity.
- State who bears wire fees, or price them in — a $25 deduction per payment adds up.
